Staff earnings: four payment types, one calculation

Most salons don't run on a single pay model: the senior stylist is on commission, the apprentice on salary, and the chair next door is rented. Orbitix lets you choose per person — it doesn't force the salon into one model.

  • Commission — separate percentages for cash and card. Each completed job adds its share to earnings and totals up at period end.
  • Fixed salary — a monthly amount, pro-rated if the person started mid-month, with payments deducted.
  • Chair rent — the flow reverses: the stylist pays the salon, and it is tracked as rental income.
  • None / don't track — no earnings calculation; appointments and clients only.
  • Advance deduction — the period view shows total gross earnings − advances paid = net payable as three separate lines.
  • Salary is independent of commission — paying a salary does not clear a commission balance; the two stay on separate lines.

End of day: both directions are supported

Salons move money in two different ways. Orbitix doesn't ask you which one you use — it works it out from the day's transactions and sets the direction itself.

  • Direction 1 · the stylist collects. They hold the day's cash, deduct their earnings and hand the rest to the cash account.
  • Direction 2 · the front desk collects. Cash and card both go into the cash account, which then pays each person their earnings at closing.
  • The end-of-day screen shows every person's cash revenue, card revenue, earnings and net result on one line.
  • Cash and card are shown separately — card money is already at the bank, so it never gets mixed in.
  • You can override an amount by hand (partial handover, partial payment).
  • A closed day is on record; go back to it any time from Reports.

The staff panel: what they see, and what they don't

You open a login for each team member. They sign in from their phone and manage only their own work. This isn't an interface choice — the restriction is enforced on the server and can't be worked around from the address bar.

  • They see: their own appointments (list and monthly calendar), their own earnings by period (this week / this month / last month), their own available hours, and their own notifications.
  • They can: add an appointment for themselves from the calendar, close a job and record the amount and payment method, block and unblock their hours, close their day and do their end-of-day handover.
  • They cannot see: another person's amounts or commission; the salon's cash account, reports, client list, stock or settings.
  • It works on a phone: the panel is a PWA — add it to the home screen and it opens like an app. Nothing to download from an app store.

Running the salon panel, step by step

From the day you open the doors, every job from booking to payment happens in one panel.

Create the appointment

Find the client by typing their name in the wizard (a new one is created automatically), then pick the service, package and stylist. Price and duration come from the catalogue; change them by hand if you like. The appointment drops onto the calendar and the stylist is notified.

Confirm online requests

Requests from your bio link land on the Online Requests screen, with the client's phone number and a WhatsApp button right there. Confirm with one tap — or turn on auto-confirm and let them go straight to the calendar.

Complete the job

The client came, the job is done: hit "finish / take payment" and choose cash or card. The amount goes to the cash account and the commission to that person's earnings, automatically.

Give an advance if needed

When someone asks for an advance mid-week you record it on their card. It leaves the cash account, is booked as a debt, and comes off their earnings at month-end on its own.

Close the day

The end-of-day screen shows each person's cash, card, earnings and result — whether you take money in or pay it out. "Close the day" puts it on record.

Frequently asked questions

What does barber and beauty salon software actually do?

Orbitix is a salon management system built for barber shops, hair salons and beauty studios. It brings together a per-staff appointment calendar, an online booking link you send to clients, a service and package catalogue, staff earnings (commission, fixed salary, chair rent), advance deduction, end-of-day cash and handover, digital consent forms and multi-branch management in one panel. Work that today is scattered across a diary, a spreadsheet and WhatsApp groups ends up in a single place.

Can I run commission, salary and chair rent side by side?

Yes. For each team member you pick one of four payment types: commission (a percentage), fixed salary (a monthly amount), chair rent (a monthly rent the stylist pays you) or none / don't track. Earnings are calculated from that choice. In the same salon one person can be on commission, another on salary and a third renting a chair; each is handled by its own rule.

Can I set different commission rates for cash and card?

Yes. For anyone on commission you can define separate percentages for cash and for card transactions. Because card payments carry processing fees and a different tax burden, many salons keep the card rate lower. The calculation looks at the payment method on each job: the cash rate applies to cash revenue and the card rate to card revenue. If you'd rather use one rate, put the same value in both.

If I give someone an advance, is it deducted from their earnings automatically?

Yes. The moment you record the advance it leaves the cash account and is booked as a debt against that person. When period earnings are calculated, advances paid are deducted from gross earnings, and the screen shows total gross earnings, advances paid and net payable separately. There's no month-end dispute about who was given what — the figure already has it deducted.

Can staff see their own appointments and earnings?

Yes. Every team member has their own login and their own panel. They follow their appointments in a list and a monthly calendar, block and unblock their available hours, close a job and record the amount and payment method, and see their own earnings by period (this week, this month, last month). They only ever see their own data — not other people's amounts or commissions, and not the salon's cash account. That restriction is enforced on the server, not just in the interface.

How does the till close at the end of the day?

The end-of-day screen shows each person's cash and card revenue, their earnings and the result on one line. If your stylists collect the money, the result is "hand in to the cash account" — they deduct their earnings from the day's cash and hand over the rest. If the front desk collects, it reverses and the cash account pays each person their earnings. Both directions are supported, and the system works out which one applies from the day's transactions. When you hit "close the day" the movement is written to the cash account and to staff earnings.

What time slots does the appointment calendar use?

You choose in settings: 15, 30 or 60 minutes. Barbers and hairdressers default to 15 minutes, because cuts and shaves line up in short slots. The interval you pick applies to both the in-salon calendar and the online booking screen your clients see, so the two always show the same grid.

How does the online booking link work — can clients pick their stylist?

You get a link for your Instagram bio or your Google Business profile. Clients open it, choose a service and a stylist, see the available times and book. Busy slots and hours you've closed by hand are visible but can't be selected. Each person's specialities are defined, so if the client chooses a skincare treatment only staff who do skincare are listed. You can also hand out a booking link for one specific person.

Are booking requests confirmed automatically?

That's your call. With auto-confirm on, an online request drops straight onto the calendar. With it off, the request arrives as "awaiting confirmation" and you confirm it with one tap from the Online Requests screen, where the client's phone number and a WhatsApp button are waiting. When an appointment is written, the relevant team member gets an in-app notification.

How do clients reach you on WhatsApp?

Clients write to your existing WhatsApp number or send a voice note. The Intent Router — the AI that reads what the message means — turns it into a client record, a booking request or a payment and files it in the CRM. Nobody has to download another app, and your team keeps the WhatsApp flow they already know.
