The appointment book, practitioner earnings, paper consent forms, the till, the end of the day. Running a clinic on a diary, a WhatsApp group and a cupboard full of signed forms only gets you so far. Orbitix is clinic management software that pulls the whole day — from booking to payment — into one panel, under your own brand.
No contract · cancel anytime · we do the setup for you
✓ Polyclinics, private practices, dental clinics, physiotherapy, dietitians, psychologists, vets — per practitioner, in one panel
If you're looking for software to fix these, you're on the right page. Every one of them ships ready in Orbitix.
A slot is held, the patient doesn't come. The chair sits empty and nobody else can be booked into that hour. Chasing it up falls to reception, and most of the time it's simply forgotten.
✅ One-tap WhatsApp and a deposit. The WhatsApp button on the appointment screen writes to the patient in one click — no hunting for the number in your contacts. If you want a deposit, you set it as a percentage of the service fee; the IBAN and account holder sit ready in the panel. No-shows stay on record on the Cancellations screen, together with the estimated lost revenue.
The book lives in one place, so nobody outside reception can see it. Two patients end up in the same slot, and when a practitioner changes, who is coming and when gets lost.
✅ A calendar and an online booking form. Appointments appear per practitioner on the calendar, and you set the slot length and working hours yourself. Open the online booking form and the patient picks their own time. Auto-confirm or manual confirm, and how far ahead bookings can be made, are your call.
Signed forms sit in a cupboard; one goes missing, another was signed incompletely. When the wording is updated, old printouts stay in circulation. Later, nobody can find what a given patient actually consented to.
✅ A Consent & Privacy screen. The consent form ships ready; you edit the privacy notice for your own clinic in Settings. Which patient gave consent, on what date, and whether it was signed, is listed in the panel — no rummaging through a cupboard.
At month-end the per-practitioner breakdown is added up by hand. Because card fees aren't deducted, the figure in the till never matches the money that reaches the bank, and nobody can explain the gap.
✅ Practitioners, Sales & Cash, End of Day. Every payment is recorded against the practitioner whose treatment it belongs to, and you pull the per-practitioner breakdown from Reports. Enter your card processing rate once and the net amount is worked out on every card payment. The End of Day / Handover screen closes the day's till.
Gloves, anaesthetic, single-use kits — nobody notices an item running low in advance. You find out with the patient already in the chair, and the treatment stalls or someone runs out to buy more.
✅ Stock with a critical-level alert. Set a critical level for each item. When the quantity drops below it, the item shows up as a warning on the Overview and in the menu — you see it before it runs out.
The daily running of a polyclinic, private practice, dental clinic, physiotherapy room, dietitian, psychology or veterinary practice ships ready — then runs under your clinic's own logo and colour.
The appointment screen shows each practitioner's calendar in its own column. Working hours, slot length and how far ahead bookings can be made are set from the panel. Open the online booking form and incoming requests are either confirmed automatically or wait for your approval; you also decide whether staff may confirm appointments at all. Cancelled appointments sit separately on the Cancellations screen.
The consent form ships ready and is sent to the patient for signature; which record carries which consent stays on the patient's profile. The privacy notice is edited in the same place — no folder to dig through. The consent flow is for patients aged 18 and over.
On the Services & Packages screen you define single treatments and packages split into sessions alike; enter price and duration once and they fill themselves in when an appointment is created. A follow-up appointment is created from the appointment detail in one click, 15 days ahead.
Payments are entered on the Sales & Cash screen; on card payments your card processing rate is deducted and the net amount reaching the till is calculated. If deposits are switched on, they are set as a percentage of the service fee, with the IBAN and account holder ready in the panel. The day's takings are closed on the End of Day / Handover screen.
Consumables and any products you sell are kept in one list, each with its unit, quantity, cost and sale price. Any item that falls below its critical level appears as a warning on the Overview and in the menu.
The WhatsApp button on the appointment, patient and prospective-patient screens opens the message in one click, with the number and the patient's name already filled in. From the Bulk Message screen you write to patients filtered by tag, source or registration date. Leave the Google review link empty in Settings and no review link goes out at all — a deliberate choice, given advertising restrictions in healthcare. Automatic appointment reminders and satisfaction surveys are coming soon.
We explain the three questions that come up before every purchase exactly as they are — no dressing up.
Consent is where a clinic wrestles with paper the most. Orbitix moves it onto its own screen: the form ships ready, the signature is captured on screen, and the record is attached to the patient.
An empty hour never comes back. Orbitix works on two fronts — writing to the patient tackles forgetfulness, a deposit tackles not turning up at all. Neither is compulsory, so your clinic uses whichever of the two it wants.
Practitioners rarely all work on the same terms. Orbitix lets you set a commission rate per practitioner and totals earnings from completed treatments itself, so you never have to build the month-end breakdown by hand.
From booking to consent, and from payment to the end-of-day till, the clinic's daily work runs in one panel.
Pick the practitioner, the service and the time on the calendar. If the online booking form is open, the patient sends the request themselves. With auto-confirm off, the request waits until you approve it. Slot length, working hours and how far ahead bookings can be made are set in Settings.
The WhatsApp button on the appointment screen writes to the patient in one click, with the number and name already filled in, and the message stays on record in the panel. If you're asking for a deposit, you enter the percentage and the IBAN once in Settings and they're ready to use. Automatic confirmation and reminder messages are coming soon.
From the Consent & Privacy screen you send the patient a single-use signature link over WhatsApp, valid for 48 hours. They read the declarations and sign on screen; the moment it's signed the link closes and the consent record is attached to the patient's profile. The consent flow is for patients aged 18 and over, and you replace the privacy notice text with your own wording in Settings.
Mark the appointment Arrived or No-show on the calendar and add the treatment or package that was carried out. Cancelled appointments are archived on the Cancellations screen — how many, for what reason, and the estimated lost revenue, restorable with one tap. Consumables used are deducted on the Stock screen, and anything below its critical level joins the warning list.
On the Sales & Cash screen, cash or card is one tap. On card payments, if a card processing rate is defined the fee is booked as an expense on its own and the net reaching the till is shown as it is. Rent, internet, electricity and other monthly costs are defined on the Recurring Payments screen, and items falling due or overdue raise a warning on the Overview.
The End of Day / Handover screen shows cash, card and earnings per practitioner, and makes clear who the till owes and how much. From Reports you pull revenue, practitioner performance and branch comparisons for the period you choose. A follow-up appointment is created from the appointment detail in one click, 15 days ahead. And from Bulk Message you write to patients filtered by tag, source or registration date.
Book a short call and we'll walk you through the clinic panel, set it up with you and bring your existing patient list across. No contract, cancel whenever you like.

Data is held on our servers, separately and in isolation for each clinic. Only the users you create can log into the panel, and what each user sees is determined by their role. Whether a staff member can see a patient's phone number, or confirm an appointment, is switched on and off in settings.
There is a separate Consent & Privacy screen in the panel. The consent form ships ready; you edit the privacy notice for your own clinic and send the patient a signature link over WhatsApp. The link is single-use and valid for 48 hours; it closes the moment the patient signs and the consent record is created automatically. Which patient gave consent, on what date, and whether it was signed, is listed on that screen. The consent flow is for patients aged 18 and over.
Yes. Just send us the Excel file, the paper register or the list you exported from another program, and we do the migration for you. Data migration, setup and training are included in every plan.
Yes. Practitioners are defined on their own screen, and the appointment calendar shows each practitioner's own schedule. Working hours, the slot length in minutes and how far ahead appointments can be booked are set in settings. You follow each practitioner's daily schedule and their earnings from the Practitioners screen.
You switch the deposit feature on and set it as a percentage of the treatment fee. You enter the IBAN and account holder in the panel and they sit ready for when you message the patient. On the online booking form you can require your own confirmation instead of auto-confirm, and follow cancelled appointments separately on the Cancellations screen.
There is no contract. Use is monthly and you can cancel at any time. Starter is 2,500 TRY, Professional 5,000 TRY and Personal Assistant 10,000 TRY; on the Enterprise plan the price is agreed in a conversation, because the scope of the setup changes from business to business.
No, there isn't. Orbitix is not a medical records system — it runs the business side of a clinic: appointments, patient records, payments and the till, consent, stock and reporting. It has no connection to medical systems such as e-prescription, national health scheme portals, lab results or image archives.
